This position is responsible for assisting in the operation of a department. An individual in this position will be expected to perform additional job-related responsibilities and duties throughout the facility as assigned and/or necessary.

Essential Functions

An individual must be able to successfully perform the essential functions of this position with or without a reasonable accommodation.

Support and provide efficient and timely communication to the Homeowner’s Association (HOA) Board of Directors needs and requests.

Essential Responsibilities:

Respond to Board of Directors (BOD) needs via email, telephone or written correspondence in a timely manner
Conduct and attend BOD annual and special meetings as required
Workup budgets for communities
Obtain and negotiate all vendor contracts i.e. (landscaping, maintenance etc.)
Ability to review, interpret and ensure compliance with HOA documentation
Ability to review, interpret and answer questions on Financial Documents
Assists clients with various HOA concerns and/or questions ranging from maintenance, accounting, violations, and other community issues.
Document communications
Answer incoming calls and emails and respond accordingly with proper grammar and spelling.
Assist and respond to all homeowners’ questions relating to statements, violations, maintenance and other questions pertaining to their HOA
Ability to research and obtain information to resolve homeowners’ needs
Conduct follow up on specific requests made to agent by home owners
Filing of Paperwork
Other tasks as assigned

Requirements –

Strong communication skills
Typing speed of 60 WPM with 90% accuracy
General knowledge of Microsoft Word and Excel
General knowledge of Gmail
Strong ability to multitask
Strong ability to pay attention to detail
Retain and recall a large amount of detailed information
Move quickly and efficiently through assigned workloads
Communicate well with fellow employees and comfortable working as part of a team.
Demonstrate excellent customer service skills and generally enjoy working with a diverse clientele
Demonstrate the ability to independently manage workload, set priorities, meet deadlines, work under pressure and adjust to change.
Demonstrate the ability to manage time in order to maximize the maintenance of on-going client relationships

Prior customer service experience a plus
General understanding of HOA documents helpful
Bi-lingual helpful
The Community Support Agent will have an assigned workstation, telephone and computer. This position requires being seated for extended periods of time. The position involves extensive computer and telephone work, and as such long periods sitting, typing and reading from a computer screen.
This position also requires communication with clients either by phone or electronic mail. Candidates must be able to effectively use either of those forms of communication.

Education:

High School Diploma or Equivalent
2-3 years related experience and/or training; or equivalent combination of education and experience

Physical Activities

Creates documents, reports, etc. using a writing instrument or computer.
Enters and locates information on a computer.

Pay: $40,000.00 - $50,000.00 per year
